How do I set up a shared calendar?
1. If you are the owner of a calendar then you can give other people access to the calendar in the following ways:
2. Using the Manage Calendar button as shown below in red - users can select the following options:
- Do not share
- Share with everyone
- Share but hide all details
- Share with specific people (other users)
3. Click on the Manage Calendar button as shown above in red where you will see the following options:
4. My Calendars: This will list any calendars that are related to your user profile:
5. Click on your calendar shown under My Calendars where you will see a details window for that calendar you have selected as shown below:
6. The Share with everyone: option is automatically set to share a calendar with everyone (as shown below)
7. However you can change the settings by selecting:
- Do not share or
- Share but hide all details from other users.
If you select 'Do not share' this will hide the calendar from all other users - apart from yourself (as you own the calendar).
If you select 'Share but hide all details' the calendar will be listed for other users and they will see events in the calendar but no details of the event will be shown.
8. Just select the appropriate option and click on Save to update.
9. You can also use the option Share with specific people: as shown below:
10. This works by typing in the person's name (it is linked to the person's email address) you wish to give specific permission to and then selecting from the drop down option the permission to:
11. When you have made your selection just click on the Add Person button.
12. Next click on Save.
13. The person whom you have given specific access to, will then need to click on the Subscribe button inside the Calendar section and enter the email address for the CRM user they wish to subscribe to their calendar for and click on 'Subscribe'. This will then allow them the specific access to that calendar as set up by the calendar owner.
Please note: When you are sharing a calendar with a specific person, that person should have an email address that is unique to their contact record. If you have people who share an email address, the sharing will not work correctly.
